Position Summary

We are seeking a proactive and detail-oriented Event Coordinator in St. Louis to join our growing events team. This role is ideal for someone with 1-3 years of professional experience who is eager to gain hands-on experience in event planning and execution. You’ll support a wide range of events—from awards cocktail receptions to intimate dining experiences—while working cross-functionally with sales, editorial, and marketing teams.

Key Responsibilities

  • Assist in the planning and execution of media-branded and client-sponsored events, including editorial showcases, experiential activations, and custom advertiser programs
  • Coordinate all event logistics, including venue research, vendor communication and negotiation, food and beverage, AV, production schedules, and inventory management
  • Lead venue walkthroughs, production meetings, AV run-throughs to ensure operational readiness and event flow
  • Manage event budgets, track expenses, and ensure projects stay within financial parameters
  • Lead event registration processes, including guest list management, ticketing platforms, RSVPs, and onsite check-in
  • Support the execution of integrated marketing campaigns across digital, print, email, and social channels to drive event awareness and attendance
  • Collaborate with editorial, sales, and marketing teams to align event content and sponsorship opportunities with brand goals
  • Serve as the day-to-day contact for sponsors and partners, ensuring fulfillment of deliverables, coordinating activations, and integration into the guest experience
  • Execute onsite event operations, including load-in and set-up, floorplan management, vendor coordination, run of show, and overseeing a seamless guest experience
  • Track production timelines, manage internal deliverables, and maintain clear documentation across all planning phases
  • Contribute to post-event deliverables, including sponsor recaps, presentation decks, performance reporting, and photo asset coordination
  • Provide administrative support, including scheduling, maintaining project trackers, and ensuring accurate event documentation

Qualifications

  • Bachelor’s degree in marketing, communications, hospitality, or a related field (or equivalent experience)
  • Passion for event planning, media, and community engagement
  • Excellent organizational and time management skills
  • Strong verbal and written communication skills
  • Ability to thrive in a fast-paced, deadline-driven environment
  • Availability to work evenings and weekends for events
